Guidelines on Hotel Accommodation Cancellation There is no single international standard governing hotel reservation cancellation policies within the tourism industry. Each hotel, hotel chain, or event organizer establishes its own cancellation policy depending on contractual arrangements, seasonal demand, occupancy levels, and the specific booking conditions. For participation in festivals published on the EAFF platform, the participation terms and conditions published by the respective festival organizer shall always apply. If a festival does not specify an explicit hotel accommodation cancellation policy, the following guidelines may be used as a reference, as they reflect common practice within the international tourism industry. Recommended Cancellation Policy Up to 60 calendar days before the arrival date – no cancellation fee. 59 to 30 calendar days before arrival – a cancellation fee of up to 30% of the reservation value may apply. 29 to 15 calendar days before arrival – up to 50%. 14 to 7 calendar days before arrival – up to 75%. Less than 7 calendar days before arrival, or in the event of a No-show – up to 100% of the reservation value. A reduction in the number of participants or reserved rooms is generally treated as a partial cancellation, and the same cancellation conditions may apply to the cancelled portion of the reservation. Festival organizers and hotels frequently allow the free substitution of participants, provided that the number of reserved rooms, the duration of the stay, and the accommodation category remain unchanged. Important Notice The timeframes and percentages stated above are not mandatory rules, but are intended solely as guidance based on commonly accepted practices in the international tourism industry. Whenever a festival organizer has published its own cancellation policy, or where different cancellation terms have been agreed in writing between the parties, those specific terms shall prevail over these recommended guidelines.
